Palisades Tahoe Community Foundation is seeking Volunteer Inventory Organizers to help keep our event supplies, merchandise, and fundraising materials organized and accessible. This part-time unpaid volunteer role is ideal for detail-oriented, hands-on helpers who love creating order from chaos. By supporting our storage systems, you’ll ensure PTCF’s events and programs run smoothly—helping our athletes shine on and off the mountain.

About PTCF

The Palisades Tahoe Community Foundation (PTCF) is a California-based 501(c)(3) nonprofit supporting Palisades Tahoe student-athletes and the legacy of the Olympic Valley community. We empower athletes with scholarships, academic resources, and community support to cultivate future leaders on and off the hill. Since 2014, PTCF has awarded more than $1M in scholarships and continues to expand its impact through access, education, and community initiatives.

Role Overview

PTCF seeks Volunteer Inventory Organizers to help maintain an efficient and well-documented system for all PTCF-owned items, including event supplies, signage, branded merchandise, raffle items, and seasonal materials. This role is crucial to ensuring staff and volunteers can quickly find what they need—saving time, reducing waste, and improving event readiness.

Key Responsibilities

Inventory Organization & Maintenance

  • Organize and maintain PTCF storage spaces for easy access and clear labeling.
  • Conduct seasonal inventory counts of event supplies, merchandise, raffle prizes, and signage.
  • Create and update a simple inventory tracking system (e.g., in Google Sheets or Monday.com).
  • Identify damaged, outdated, or missing items and recommend replacements or repairs.

Event Support & Coordination

  • Prepare and stage necessary inventory for events and fundraising activities.
  • Assist in transporting, setting up, and breaking down event supplies when needed.
  • Coordinate with the Events Committee, Raffle Committee, and Volunteer Event Coordinator for timely inventory needs.

Documentation & Reporting

  • Maintain accurate digital records of inventory, including photos, quantities, and storage locations.
  • Provide periodic updates to the Manager of Operations & Development and Events Committee.
  • Help create a checklist of event-ready kits for smoother packing and deployment.

Qualifications

  • Organized, detail-oriented, and proactive about creating efficient systems.
  • Comfortable with light physical activity (lifting boxes up to ~25 lbs, setting up signage, etc.).
  • Basic familiarity with spreadsheets or inventory tracking tools (training provided).
  • Team player who communicates well with event staff and fellow volunteers.
  • Interest in supporting youth sports and the Palisades Tahoe community.

Time Commitment

  • 2–4 hours per month for routine inventory management.
  • Additional hours during key event seasons (e.g., preparation, packing, and post-event reorganization).
  • Primarily on-site at PTCF storage locations in Olympic Valley, with some hybrid coordination for documentation updates.
