Palisades Tahoe Community Foundation is seeking a Volunteer Speaker Series Coordinator to help lead our inspiring PTCF Speaker Series, which brings athletes, experts, and thought leaders together to educate, motivate, and connect our community. This part-time unpaid volunteer role is ideal for a highly organized, relationship-oriented individual who loves event planning and creating meaningful experiences that enrich the lives of our student-athletes and families.

About PTCF

The Palisades Tahoe Community Foundation (PTCF) is a California-based 501(c)(3) nonprofit supporting Palisades Tahoe student-athletes and the legacy of the Olympic Valley community. We empower athletes with scholarships, academic resources, and community support to cultivate future leaders on and off the hill. Since 2014, PTCF has awarded more than $1M in scholarships and continues to expand its impact through access, education, and community initiatives.

PTCF seeks a Volunteer Speaker Series Coordinator to oversee the planning and delivery of our seasonal Speaker Series. These events aim to inspire, educate, and engage student-athletes, families, and the broader Tahoe community on topics such as athletic development, mental wellness, leadership, college preparation, and career pathways.

The Coordinator will collaborate closely with the Events Committee, Academic Center, Marketing Team, and Palisades Tahoe partners to secure speakers, manage logistics, and ensure each event runs smoothly and aligns with PTCF’s mission.

Key Responsibilities

Program Planning & Speaker Outreach

  • Serve as PTCF’s point of contact with Team Palisades Tahoe to set goals and schedule for annual speaker series.  This may include Identifying and researching potential speakers (athletes, professionals, educators, health & wellness experts, alumni, community leaders).
  • Coordinate outreach, communication, and scheduling with speakers and their teams.
  • Develop an annual or seasonal calendar for the Speaker Series in collaboration with Team Palisades Tahoe.

Event Logistics & Delivery

  • Liaise with Team Palisades Tahoe to secure venues, dates, and technology (A/V, microphones, recording or livestreaming if applicable).
  • Prepare run-of-show documents, speaker bios, and event scripts.
  • Coordinate with the Volunteer Event Coordinator and Events Committee to ensure smooth set-up, check-in, and hospitality.
  • Oversee day-of execution, ensuring a welcoming and professional experience for speakers and attendees.

Promotion & Engagement

  • Collaborate with the Social Media Manager, Copywriter, and Graphic Designer to create promotional materials and campaigns.
  • Work with the Photographer and Videographer to capture event highlights for future marketing and donor reports.
  • Gather feedback from attendees and speakers to improve future events.

Reporting & Follow-Up

  • Provide post-event updates to the Board, including attendance and key outcomes.
  • Maintain a record of past speakers and topics for historical and promotional use.

Time Commitment

  • 5-10 hours per month November - May
  • Flexible hybrid role; on-site presence required for Speaker Series events.
